Shared Folders

Shared folders are designed to enhance organization and collaboration within your workspace. Hereโ€™s a detailed guide on how shared folders work and how they can benefit your team.

Shared folders allow you to create a fixed and organized space for specific streams, making it easier to manage and collaborate on projects. Unlike regular folders, shared folders can be controlled by a designated manager, ensuring that the organization remains consistent, especially when onboarding new users.

Creating a Shared Folder: To create a shared folder, navigate to the sidebar and select the option to create a new folder. During the creation process, mark the folder as shared.

The user who creates the shared folder automatically becomes the folder manager.

Manager Controls: The manager of a shared folder has exclusive control over what streams are added or removed from the folder. Only streams owned or controlled by the manager can be placed into the shared folder.

Other users within the shared folder cannot add or remove streams, maintaining the organization set by the manager.

Use Cases: Shared folders are ideal for various departments and projects, such as legal, branding, marketing, and more. They provide a consistent structure that helps in managing large workspaces and numerous projects.

  1. Navigate to Your Sidebar
  • In your Ledger workspace, go to the sidebar and create a new folder.
  • Choose the option to mark it as a shared folder.
  1. Manage Streams Within the Shared Folder
  • As the manager, you can add or remove streams that you own or control.
  • Simply drag and drop streams into or out of the shared folder as needed.
  • Ensure that only streams you manage are placed within the shared folder to maintain control.
  1. Example Scenario

Suppose you have a shared folder named "Branding Projects" containing streams for various branding initiatives. As the manager, you can add new streams related to branding and ensure that team members cannot alter the organization by adding or removing streams themselves.

Consistency: Maintain a fixed and organized structure for your streams, even as new users are onboarded.

Control: Ensure that only the manager can modify the contents of the folder, preventing disruptions.

Flexibility: Use shared folders for a wide range of purposes, from managing department-specific projects to handling cross-functional initiatives.

Shared folders in Ledger offer a powerful way to keep your workspace organized and under control. By allowing managers to oversee the contents, shared folders ensure that your teamโ€™s projects remain structured and efficient.
