Inviting Guests

You might encounter situations where you want to add someone who is not a teammate to a stream or direct message. That person might be a partner, vendor, or client. In Ledger, we call that person a guest.

NOTE: In Ledger, guests are always free. However, they can only belong to a single stream or direct message at a time. If you think you will need to add them more often, we recommend adding them as a permanent team member.

Invite guests to a new stream

  1. From the left sidebar, click Add new stream.

  1. Give the stream a name, then enter your guest's email address.
  2. Click Invite and the guest will be added.
  3. When you're done, click Create stream.
  • Note: if you are an account owner or admin, you will see additional permission options when clicking the invite button. This allows you to not only add guests from anywhere inside Ledger, but also to add new members to your team quickly.

Invite guests to an existing stream

  1. Select the stream you want to invite a guest to.
  2. Click the Add people icon in the upper right corner.

  1. Enter your guest's email address.
  2. Click Invite and the guest will be added.
    • Note: if you are an account owner or admin, you will need to select the role type (Admin, Member, or Guest) from the menu.
  3. When you're done, click Add people.

Invite guests to a new direct message

  1. From the left sidebar, click Messages.
  2. Click Add Message.

  1. Enter your guest's email address.
  2. Click Invite and the guest will be added. Note: if you are an account owner or admin, you will need to select the role type (Admin, Member, or Guest) from the menu.
  3. Write your first message.
  4. Click Send direct message.

Adding more than one person to a new direct message will automatically turn it into a group message.

Invite guests to an existing direct message

  1. From the left sidebar, click Messages.
  2. Select the direct message you want to invite a guest to.
  3. Click the Add people icon from the message window.

  1. Enter your guest's email address.
  2. Click Invite and the guest will be added. Note: if you are an account owner or admin, you will need to select the role type (Admin, Member, or Guest) from the menu.
  3. When you're done, click Add people.

Adding a guest to an existing direct message will automatically turn it into a group message.

How do I know if someone is a guest?

All guests will have a G icon on the upper right corner of their profile picture.

How do I know if my guests joined?

  • When a new guest joins, you get a notification. You can find the notifications icon in the bottom right corner. You'll see a tiny loading red spot if there's anything new.
  • If you want to check the status of the people you've invited to a stream, click the Add people icon. You can view the list of people under Members.
  • If you want to check the status of the people you've invited to a direct message, click the message > Add people icon. You can view the list of people under Members.
  • There are two statuses: Role Type or Role Type (Pending). The role type can be one of Admin, Member, or Guest.
    • Role Type: The person is part of the stream or direct message.
    • Role Type (Pending): The person still needs to accept the invitation.

How do I turn a guest into a member?

Since guests can only belong to a single stream or direct message, it will make sense to convert these guests to workspace members once they need to be added to more projects.

To do this, a workspace admin will need to go to settings > workspaces > workspace name and select the person + icon next to the guests name. This will allow them to convert the guest into a workspace member where they will be able to collaborate and create new items like other members.

Note, this new member will count towards your user allotment on your plan.

Can guests invite other guests?

No, they cannot.

What can guests see?

Guests can only view and comment on activity within the individual stream or direct message they have been invited to. They will not be able to view any other stream or activity in the workspace.
