How to Use Templates in Ledger

Templates make it easier and faster to create new streams based on your existing workflows. You can save time, stay consistent, and even let AI build project flows for you.

Ways to Create a Stream

When creating a new stream in Ledger, you now have three options:

  1. Start from Scratch
    • Just like before — name your stream and begin with a blank canvas.
    • Default Kanban columns are applied (To Do, In Progress, Done, etc.).
  2. Generate with AI (Pro plans only)
    • Type in a stream name (e.g. “SEO Optimization”) and AI will:
      • Generate a stream description
      • Create task columns tailored to that project
  3. Pick a Template
    • Choose from built-in system templates (e.g. sales, partnerships, project management)
    • Or use a template you've saved or customized yourself

Working with Templates

You can create, customize, and reuse templates in a few ways:

Save an Existing Stream as a Template

  • Click the three dots on any stream
  • Select Save as Template
  • Only tasks are copied (no files, comments, or assignees)

Create a New Template from Scratch

  • Go to System Settings > Templates

    Choose Start from Scratch

    Define:

    • Stream name
    • Description
    • Task columns (e.g., To Do, In Review, Completed)
  • Optionally, use the AI assistant to populate task ideas in each column

Customize a System Template

  • In System Settings > Templates
  • Click on any built-in template
  • Modify task columns and tasks
  • Save it under My Templates

Using AI Inside a Template

When editing a template, you can:

  • Click the AI icon in the top-right corner
  • Let AI suggest task ideas based on your project type
  • Select which ones to add, along with task descriptions

This is a great way to pre-fill your templates with relevant, actionable tasks before using them.


Note: Editing a Template Doesn't Affect Streams

Modifying a template won’t change any streams you've already created with it. Templates act like blueprints — once used, the stream stands alone.


Best Use Cases

  • Save time by reusing workflows you often replicate (e.g. new client onboarding, product launches)
  • Let AI generate project flows when you're in a rush
  • Share standardized templates across your team for consistent process management
